Abstract

This study examines the evolution and future prospects of Document Management Systems (DMS) within the framework of digital transformation. It analyzes the integration of document management into organizational processes in accordance with ISO 15489 and ISO 16175 standards, which ensure the authenticity, integrity, and availability of documents. The phases of the document life cycle—capture, classification, retention, preservation, and access—are described, as well as the role of DMS in enhancing efficiency, traceability, and regulatory compliance. The study compares open-source and proprietary software solutions, assessing their degree of flexibility, customization, and technical support. In its final section, the author concludes that open-source document managers such as Alfresco, OpenKM, and OpenProdoc provide a solid foundation for implementing interoperable and sustainable document management policies, while promoting transparency, collaboration, and long-term digital preservation within organizations.
